Employee Grievance Redressal

Purpose

At Growth Climb, we are committed to fostering a positive and harmonious work environment where all employees feel valued and heard. The Employee Grievance Redressal Policy is designed to provide a clear and transparent process for employees to raise concerns or complaints regarding workplace issues, ensuring that grievances are addressed fairly and promptly.

Scope

This policy applies to all employees of Growth Climb, including full-time, part-time, contractual, and temporary staff. It covers grievances related to workplace conditions, policies, interpersonal conflicts, harassment, discrimination, and any other work-related concerns.


Definition of a Grievance

A grievance is any discontent or feeling of unfair treatment that an employee experiences regarding their job, workplace, or interactions with colleagues, supervisors, or management. Common examples of grievances include:

  • Unfair treatment or discrimination based on race, gender, age, religion, etc.
  • Harassment or bullying.
  • Issues related to compensation, benefits, or promotions.
  • Workload, work environment, or health and safety concerns.
  • Violations of company policies or unethical practices.

Guiding Principles

The following principles guide the grievance redressal process at Growth Climb:

  • Confidentiality: All grievances will be treated with the utmost confidentiality. Information will only be shared with individuals directly involved in the resolution process.
  • Fairness and Impartiality: The grievance will be addressed impartially, without prejudice or favoritism.
  • Non-Retaliation: Employees will not face any form of retaliation for raising a grievance in good faith.
  • Timeliness: The company is committed to addressing grievances promptly to avoid prolonged distress for the employee involved.

Grievance Redressal Procedure

a) Stage 1: Informal Resolution

Employees are encouraged to resolve grievances informally before escalating the matter through formal channels. Employees should:

  1. Discuss with the Immediate Supervisor: Employees should first attempt to discuss the issue with their immediate supervisor or manager. In many cases, workplace issues can be resolved through open communication.
  2. Mediation: If the grievance is related to the supervisor or if the employee is uncomfortable raising the issue directly, they may seek mediation through HR or an appointed mediator to resolve the issue informally.

If the grievance remains unresolved through informal discussions, employees can proceed to the formal grievance process.

b) Stage 2: Formal Grievance Submission

If informal resolution is not possible or satisfactory, the employee may file a formal grievance by following these steps:

  1. Submit a Written Grievance:
    • The employee must submit a written grievance to the Human Resources (HR) department or through the company’s designated grievance portal or email.
    • The grievance should include a clear description of the issue, relevant facts, dates, and any supporting documents or evidence.
  2. Acknowledgment of Grievance:
    • HR will acknowledge receipt of the grievance in writing within 2 business days and inform the employee of the next steps in the resolution process.

c) Stage 3: Investigation and Review

Once a formal grievance is submitted, the following steps will be undertaken:

  1. Grievance Review:
    • The HR department, in consultation with relevant managers, will initiate an investigation to understand the details of the grievance.
    • In cases of complex or sensitive grievances (e.g., harassment or discrimination), an independent grievance committee may be formed, comprising HR representatives, senior management, and/or external consultants, if required.
  2. Interviews and Fact-Finding:
    • HR or the grievance committee will conduct confidential interviews with the employee, any witnesses, and the individuals involved to gather all relevant information.
    • All parties will be given the opportunity to present their perspectives.
  3. Resolution Proposal:
    • Based on the investigation, HR or the grievance committee will propose a resolution to address the grievance. This may include corrective actions, mediation, counseling, or disciplinary measures, depending on the nature of the issue.
  4. Timeline:
    • The investigation and resolution process should be completed within 10 to 15 business days from the date the grievance is filed, unless additional time is required for complex issues. The employee will be informed of any delays.

d) Stage 4: Grievance Resolution

Once a decision is reached, HR will:

  • Communicate the Outcome: The resolution will be communicated to the employee in writing, including details of any actions taken to address the grievance.
  • Implementation of Actions: If applicable, corrective actions (e.g., policy changes, disciplinary actions, or training) will be implemented to prevent recurrence of similar issues.

e) Stage 5: Appeal Process

If the employee is dissatisfied with the outcome of the grievance resolution, they may appeal the decision as follows:

  1. Submit an Appeal:
    • The employee may submit a written appeal to the HR department within 5 business days of receiving the resolution.
  2. Appeal Review:
    • The appeal will be reviewed by a higher-level manager or an independent committee. This review may involve re-examining the facts and consulting any additional stakeholders.
  3. Final Decision:
    • The decision made during the appeal process will be final and communicated to the employee within 10 business days.

Special Grievance Categories

a) Harassment and Discrimination Grievances

  • Zero Tolerance: Growth Climb has a zero-tolerance policy for harassment and discrimination based on race, gender, religion, sexual orientation, disability, or any other protected characteristic.
  • Handling of Complaints: Any grievance related to harassment, bullying, or discrimination will be investigated promptly, and severe action will be taken against perpetrators in line with the company’s Anti-Harassment and Non-Discrimination Policy.

b) Whistleblower Grievances

  • Protection for Whistleblowers: Employees raising concerns about illegal or unethical conduct (e.g., fraud, bribery, violations of law) will be protected under the company’s Whistleblower Policy. Whistleblowers are entitled to anonymity, and no retaliation will be permitted.

Roles and Responsibilities

a) Employees

  • Raise concerns or grievances promptly, in good faith, and through the appropriate channels.
  • Participate in the grievance resolution process honestly and cooperatively.

b) Managers

  • Encourage open communication and address employee concerns at the earliest stage.
  • Provide guidance and support to employees facing work-related issues.
  • Collaborate with HR to resolve grievances in a fair and timely manner.

c) Human Resources (HR)

  • Administer the grievance redressal process and ensure compliance with this policy.
  • Investigate grievances objectively, maintaining confidentiality and neutrality.
  • Facilitate the resolution of grievances and ensure corrective actions are implemented where necessary.

Confidentiality

All information related to employee grievances will be treated with strict confidentiality. Information will only be shared with individuals directly involved in the grievance resolution process. Unauthorized disclosure of grievance-related information will result in disciplinary action.


Non-Retaliation

Growth Climb strictly prohibits retaliation against any employee who raises a grievance in good faith or participates in a grievance investigation. Any form of retaliation, including demotion, dismissal, or harassment, will result in disciplinary action, up to and including termination.


Policy Review

This Employee Grievance Redressal Policy will be reviewed periodically to ensure it remains effective, up-to-date, and in compliance with applicable laws. Employees will be informed of any changes to the policy.
